# Online booking: how do customers book an appointment on their own?

> Online booking explained: how a booking page works, the settings that matter, a time estimate for a repair garage, and the mistakes behind double bookings.

Online booking is a service that lets customers reserve a time themselves, through a web page or a button on a business listing, from availability calculated against staff calendars. The appointment is recorded without a phone call, then confirmed, rescheduled or cancelled according to the business's rules. It is also called online scheduling or self-booking.

## In short
- Customers book on their own, any time, from availability drawn from real calendars.
- Key settings: service length, minimum notice, buffer time and a daily cap.
- A Google Business Profile can show a booking button through a provider or your own link.
- The main risk is double booking when not every relevant calendar is checked.

## How does a booking page work?

The logic is always the same. The business describes what it sells (a service, how long it takes, who can do it), the tool checks those rules against calendars, and the customer sees only the times that work. They choose one, leave their details and get a record of the appointment. Google Calendar's help pages describe exactly this: a booking page built from your availability that doesn't show times when you're busy [2].

The web even has a vocabulary for the act. In Schema.org, ReserveAction means reserving a concrete object, such as a table or a hotel room, for a [time slot](https://app.pilotiko.com/en/glossary/time-slot) or a spatial allocation, as opposed to ScheduleAction [3]. For a service business, the “object” being reserved is usually a person or a service bay.

## Which booking settings make the biggest difference?

Booking tools look alike, but their settings change the outcome a lot. Google Calendar's appointment schedules show the typical range: appointment duration, general availability per day, a scheduling window (how far ahead people can book and the minimum lead time), adjusted availability for dates like holidays, buffer time between appointments and a maximum number of bookings per day [2]. By default, Google applies a 4-hour minimum lead time, which is why a brand-new booking page may show nothing for the current day [2].

The most sensitive point is checking other calendars. Google suggests turning on the option to check calendars for availability to avoid conflicts, and notes that appointment schedules do not check co-hosts' availability by default [2]. A three-technician shop that misses this can end up with two customers in the same hour.

| Setting | What it does | Risk if set wrong |
|---|---|---|
| Service duration | Blocks the right amount of time for each job type | Appointments spilling into the next one |
| Minimum lead time | Prevents last-minute bookings you can't prepare for | Customer arrives before the part is ordered |
| Maximum advance window | Keeps people from filling a calendar you don't know yet | Bookings during holidays nobody entered |
| Buffer time | Leaves room for travel, clean-up or paperwork | Delays that snowball all day |
| Daily cap | Protects the team's real capacity | Overloaded days and rushed work |
| Calendar availability check | Accounts for every existing commitment | Double bookings |

Settings based on the parameters described in Google Calendar Help [2]; the risk column is a Pilotiko summary.

## How do you add booking to a Google Business Profile?

A [Google Business Profile](https://app.pilotiko.com/en/glossary/google-business-profile) can display a booking button. According to Google, you either pick a Reserve with Google partner in the Bookings section of the profile or add your own link, and booking providers show up on the profile within a week [1]. Google also warns that your provider might charge you, and that performance data isn't available for custom links [1].

That choice has a practical consequence: with a plain link, Google won't tell you how many bookings came from the profile. You'll have to count them in your own booking tool.

## How much phone time does a garage spend booking appointments?

**Estimate: a fictional three-bay repair garage in Drummondville**

- Appointments booked per week : 60
- Average booking call length : 4 min
- Phone time spent on the calendar (60 × 4) : 240 min, or 4 h
- Share of customers who would book online (assumption) : 40%
- Calls avoided per week (60 × 40%) : 24
- Counter time freed up (24 × 4 min) : 96 min, or 1 h 36 min
- **= About 1 h 36 min of counter time freed per week, provided 40% of customers use the booking page. The other calls remain: pricing questions, diagnostics, emergencies.**

## Which online booking mistakes should you avoid?

- Publishing the page without connecting the calendars of everyone who can perform the service.
- Using one duration for services of very different lengths.
- Forgetting travel buffers when the work happens at the customer's address.
- Showing availability during time off that was never entered in the calendar.
- Asking for too much on the form and losing the customer before the end.
- Offering no easy way to reschedule or cancel, which encourages [no-shows](https://app.pilotiko.com/en/glossary/no-show-rate).

## What does Pilotiko do for online booking?

Online booking is available in Pilotiko. The times offered to customers are real open slots: they account for working hours, time off, closed days and existing appointments, buffers included. Conflicts are blocked when the booking is saved, even if two people try to grab the same time. Appointments can then be rescheduled or cancelled, and an iCalendar file, the format standardized in RFC 5545 [4], lets the customer add it to their own calendar. The right person is suggested based on calendars and workload; see our [scheduling capability](https://app.pilotiko.com/en/product/booking-and-scheduling).

> Email and SMS confirmations and reminders (24 h and 1 h before) are being commissioned: nothing is sent yet. The code is ready; real sending is waiting for the sending provider to be connected.

## Frequently asked questions

### How is online booking different from a contact form?

A contact form sends a request that someone has to call back. Online booking puts the customer straight into an open slot on the calendar, with no back-and-forth.

### Can I add a Book button to my Google profile?

Yes. Google lets you go through a Reserve with Google provider or add your own booking link to the profile. With a custom link, Google doesn't show performance data for those bookings.

### Why does my booking page show no times today?

Usually because of the minimum lead time. In Google Calendar it defaults to 4 hours, so a page set up late in the afternoon may offer nothing for the same day.

### How do I prevent double bookings?

Make sure the tool checks every relevant calendar before offering a time, including colleagues who share the service. Google points out that its appointment schedules don't check co-hosts by default.

### Does online booking replace a receptionist?

No. It absorbs straightforward bookings, but pricing questions, emergencies and special cases still need a person. Mostly it frees up time at the counter and on the phone.

### Should I ask for a deposit when customers book online?

It's a business decision, not a requirement. A deposit can discourage no-shows, but it adds a step to the form and can put off first-time customers.
