# Reports and steering: your numbers without a spreadsheet

> Pilotiko reports: services, value, cancellations, new customers and staff workload over six periods. What they measure today, and what they do not measure yet.

Updated on October 15, 2026 · https://app.pilotiko.com/en/product/reports

Internal reports are available in Pilotiko. They count scheduled, completed and cancelled services, their value, the cancellation rate, new customers, top services and hours per staff member, across six periods. Google Analytics is not connected yet, so website visits still show as not connected.

## In short
- Status: available for internal reports; Google Analytics: coming soon.
- Six periods: today, this week, last week, this month, last month, next 7 days.
- Service value is the price of services and is never presented as money collected.
- No CSV export of reports for now.

## What is on the Reports page?

A summary of activity for the chosen period: services by status, their value, the cancellation rate, new customers, the 5 most requested services, up to 10 staff members with their hours, and a day-by-day histogram.

Pilotiko's reports stick to indicators your data can support without assumptions: what was scheduled, done or cancelled, and by whom. A key performance indicator only helps if everyone reads it the same way, so each label states what it counts and what it does not.

Periods are worked out in your business's time zone, and the week starts on Monday. Reports are limited to the owner and managers; an employee is refused. The same calculation feeds the assistant: ask it for this week's summary and it reads exactly the numbers on the page.

| Indicator | What is counted | What it is not |
|---|---|---|
| Scheduled, completed, cancelled services | Service appointments by status | Calls or inquiries |
| Service value | Price of scheduled or completed services | Money collected |
| Cancellation rate | Cancelled ÷ period total | Unreported no-shows |
| New customers | Records created in the period | Unconverted leads |
| Top 5 services | Count and value per service | Profit margin |
| Workload per staff member | Services and hours, up to 10 people | Paid hours |

## Which other screens help you steer?

The Overview gives live counters: customers, active staff, active services and resources, services today and in the next 7 days, upcoming and completed value this month, the next 8 services and the last 8 log entries. For a new business, it shows a 5-step checklist: a service, a staff member, availability, a customer, a first service.

The [virtual office](https://app.pilotiko.com/en/product/virtual-office) executive view compares 7, 30 or 90 days with the previous period. The owner's dials add sales, profit and a time-freed-by-agents figure based on minutes per task type you can edit; that dial is labelled as an estimate to validate. Cost per customer by channel comes from the marketing module described on the [advertising](https://app.pilotiko.com/en/product/advertising) page.

## How do you read a monthly report?

**Example: a Saskatoon hair salon, last month report**

Hypothetical figures, calculated the way the Reports page does it.

- Total services : 240
- Completed : 220
- Cancelled : 12
- Still scheduled (appointments not closed) : 8
- Cancellation rate (12 ÷ 240, rounded to a whole number) : 5%
- Value of completed services : $12,840
- **= 8 past appointments are still scheduled: close them as completed or cancelled before reading the value.**

## How do you use it?

1. **Open Reports** — From the menu, as the owner or a manager.
2. **Pick the period** — Today, this week, last week, this month, last month or the next 7 days.
3. **Close past services** — Mark them completed or cancelled in [scheduling](https://app.pilotiko.com/en/product/booking-and-scheduling); the report never guesses.
4. **Compare in the executive view** — For a trend, switch to 30 or 90 days in the executive view.
5. **Import what is missing** — Sales and expenses kept elsewhere can be imported with the CSV template provided.

## What are the limits of reports?

To measure your site in the meantime, Google Analytics is set up by creating a property and a web data stream, then installing the Google tag with the measurement ID that starts with G-; data collection may take up to 30 minutes to begin [1]. Google Search Console tracks how the site performs in search, with trends for impressions and clicks [2]. Site visibility is covered on the [SEO, AEO and GEO](https://app.pilotiko.com/en/product/seo-aeo-geo) page. Overview: [the product](https://app.pilotiko.com/en/product).

- **No export** of reports to CSV, PDF or Excel. The only CSV file is a template for importing sales and expenses.
- **Fixed periods**: six in reports, three in the executive view; no custom range or custom report.
- **No money collected in service reports**: the value is the price of services.
- **Google Analytics: coming soon.** During the site audit, Pilotiko only detects whether your site already carries a Google Analytics tag.
- **No automated test** checks every report figure yet; page rendering and access rights are tested.

## Frequently asked questions

### Do reports show money collected?

No. Service reports show the value of services, meaning their price. Money collected appears in the executive view, for people with finance rights.

### Can I export my reports to CSV?

Not yet. The only CSV file available is a template for importing sales and expenses kept elsewhere.

### Is Pilotiko connected to Google Analytics?

Not yet; it is coming soon. Website visits and conversions show as not connected rather than a misleading zero.

### Can an employee see reports?

No. The Reports page is limited to the owner and managers; an employee is refused.

### Why does my cancellation rate look low?

The rate counts services marked cancelled. An unreported no-show that stays scheduled is not counted, so close every past appointment.

### Does the assistant give the same numbers as the page?

Yes. The summary you ask the assistant for uses the same calculation as the Reports page.
