No-show rate: what does it actually measure?

A booked slot, a technician ready, nobody home. Here is how to put a number on it.

A no-show rate is the share of confirmed appointments where the customer neither shows up nor cancels in advance. You calculate it by dividing missed appointments by appointments scheduled over a set period, then multiplying by 100. It tells a service business how much booked capacity goes unused.

In short

  • Formula: no-shows ÷ scheduled appointments × 100, over a fixed period.
  • A timely cancellation is not a no-show; a last-minute one depends on your policy.
  • The real cost is the lost time slot, not just the price of the service.
  • Track it the same way every month or the trend means nothing.

Where does the term no-show come from?

The word started in airlines and hotels, where a reserved seat or room went unused. Quebec's official terminology bank, the Grand dictionnaire terminologique, defines the person as someone who made a reservation but does not turn up at the agreed place and time; its French equivalents are client défaillant and client fantôme [1].

For a home-services or appointment-based business, the idea is the same. The appointment existed, the time was blocked, and no one was there to use it.

How do you calculate a no-show rate?

Pick a fixed period, usually a month. Count the appointments that were still active at their scheduled time. Then count the ones where the customer did not come and gave no notice. Divide the second number by the first.

Write down how you treat edge cases before you start. If a client cancels 20 minutes before the visit, most owners would call that a lost slot. A common approach is a cut-off, such as 24 hours, below which a cancellation counts as a no-show. Whatever you choose, keep it stable so the KPI stays comparable.

What counts toward the rate
SituationCounted as a no-show?Reason
Customer doesn't come and doesn't answerYesClassic no-show
Cancelled three days aheadNoThe slot could be rebooked
Cancelled 30 minutes aheadDepends on your policyThe slot is almost always lost
Technician arrives, nobody homeYesTravel time and slot both lost

Put your rule in your cancellation policy and show it at booking time.

What does a few points of no-shows cost a small business?

Why do customers miss appointments?

  • They simply forget, especially when the booking was made weeks earlier.
  • Cancelling is a hassle: the phone line only answers during office hours and there is no link to reschedule.
  • The time or address was only given verbally and got mixed up.
  • They found a cheaper option and feel awkward calling to cancel.

Are appointment reminders allowed under Canadian law?

Under Canada's anti-spam legislation, the consent requirement does not apply to a message that solely facilitates, completes or confirms a transaction the recipient already agreed to; that exception is in subsection 6(6), while the identification and contact rules in subsection 6(2) still apply [2]. See our CASL entry for the details.

A phone number or email address is personal information. Since September 2023, Quebec's Law 25 changes require businesses to tell people why and how their information is collected at the time of collection [3]. This page is general information, not legal advice.

Which mistakes distort the number?

  • Dividing by every booking ever made instead of the appointments still active on the day.
  • Changing the late-cancellation rule from month to month.
  • Mixing first-time customers with regulars, who often behave quite differently.
  • Watching the percentage without the dollar value of lost slots on your dashboard.
  • Charging a missed-appointment fee that was never disclosed at booking.

How does Pilotiko help with missed appointments?

Today, Pilotiko provides online booking on genuinely open slots and proposes who should take each job based on calendars and workload, which makes it easier to dispatch a freed-up slot to someone else.

Automatic email and SMS confirmations and reminders (confirmation, then 24 hours and 1 hour before) are being commissioned: nothing is sent yet. The code is ready; real sending is waiting on the delivery provider.

Frequently asked questions

What is a good no-show rate?

There is no universal benchmark; it depends on your trade, how far ahead people book and your customer mix. The most useful comparison is your own rate month over month, calculated the same way.

Is a late cancellation a no-show?

Only if your policy says so. Set a clear cut-off, such as 24 hours, and tell customers about it when they book.

Can I charge a customer who didn't show up?

Some businesses do, but only with a policy that was clearly disclosed before booking. The exact rules depend on your contract and consumer protection law, so check them first.

Do text reminders reduce no-shows?

They mainly fix forgetting and time mix-ups, two common causes. Measure your rate before and after you start sending them to see the effect in your own business.

Do I need consent to send an appointment reminder?

A reminder that only confirms a transaction the customer already agreed to falls under an exception to the consent rule in Canada's anti-spam law, but it still has to meet the form requirements. For a specific case, read the Act or ask a lawyer.

What is the French term for no-show?

Quebec's language office recommends client défaillant or client fantôme for the person. For the metric, taux de non-présentation is the clearest wording.
