Pilotiko for driving schools

A missed road lesson ties up an instructor and a car for an hour, and sets a student back in their phase.

Pilotiko helps a driving school schedule on-road sessions: each car is a resource, each instructor has their own availability, and students book online only where both are free. Assignment is proposed based on workload, and reports track sessions held and missed. Lesson reminders by SMS are being commissioned and aren't sent yet.

In short

  • Only SAAQ-recognized schools offer the mandatory courses required to get a driver's licence [1].
  • The car course lasts at least 39 hours, including 15 on-road sessions of about one hour [2].
  • The four phases have minimum durations adding up to 168 days [2].
  • SMS lesson reminders are being commissioned: nothing is sent yet.

How is the driving course structured in Quebec?

The Société de l'assurance automobile du Québec states that only SAAQ-recognized schools offer the mandatory course programs needed for a driver's licence [1]. For a passenger car, the course has a minimum duration of 39 hours: 24 hours of theory in 12 two-hour modules, plus 15 on-road sessions of about one hour each [2].

The course runs in four phases with minimum durations: 28 days for phase 1, 28 for phase 2, 56 for phase 3 and 56 for phase 4 [2]. The learner's licence comes at the end of phase 1 and is required before the phase 2 road sessions can start [2].

Why does a driving school schedule three things at once?

A road session needs a free instructor, a free dual-control car and a student who's available, usually after school or work. Since students are busy during the day, demand piles up in late afternoons and on Saturdays while weekday mornings stay quiet.

Theory, meanwhile, is taught to groups on a module calendar. A student who misses a module has to catch it with another group, which pushes back their road sessions. Keep those two calendars apart and sooner or later someone books a road session too early.

What do missed sessions cost a school?

How does Pilotiko organize a driving school?

The virtual office lays the school out as rooms: front desk and registration, theory classroom, road sessions, admin. Each instructor has a desk showing today's sessions and the week's load.

Each car is declared as a resource. Students book a road session online, and Pilotiko only offers times when an instructor and a car are free together. A buffer between sessions leaves time to get back to the starting point.

When a student has no preference, Pilotiko proposes the instructor with room and the declared skill (manual transmission, nervous beginners). The manager confirms.

  • An AI agent can spot students with no road session booked in three weeks and draft a follow-up for approval.
  • Reports show sessions held, cancelled and missed, per instructor and per car.
  • The school's website, built and hosted by Pilotiko, presents your packages, service areas and booking link.

What isn't offered yet?

Does Pilotiko track the student's official progress?

No. Official course tracking and school recognition follow SAAQ rules [1]. Pilotiko handles scheduling; it doesn't replace the student logbook or any tool the program requires.

Many students are minors, so keep information to what scheduling needs: name, phone, current phase. Under Quebec's private-sector privacy act, the school is responsible for protecting the personal information it holds [3]. Like a repair shop with its lifts, a school manages physical resources; like a physiotherapy clinic, it runs series of sessions that shouldn't stall.

Security agencies face a related challenge: checking that a person holds the right licence before scheduling them. And like a dental clinic, a school loses a full hour with every no-show.

Frequently asked questions

Can students book road sessions online?

Yes. Students pick a time when an instructor and a car are free together. You decide how many days ahead sessions open.

Does Pilotiko stop a car from being double-booked?

Yes. Each car declared as a resource can't have two overlapping sessions, on top of the check on the instructor's calendar.

Does Pilotiko check that a student has a learner's licence before a road session?

Not automatically. Your team checks the student's phase; you can keep the first road session booked at the front desk once the learner's licence has been seen.

Are text reminders live?

Not yet. The 24-hour and 1-hour reminders are being commissioned: the code exists, but the sending provider isn't connected. Nothing is sent to students today.

Can we schedule group theory modules?

You can put them on the classroom's and instructor's calendars like appointments. Group management stays simple: Pilotiko isn't school administration software.

Does it work for motorcycle or truck training?

The logic is the same (instructor, vehicle, student), but programs differ. Check SAAQ requirements for each licence class.
