Pilotiko for real estate brokers and brokerage teams
An open house that empties out, a buyer who goes quiet, an inspection to fit in before a condition expires: a broker's time disappears into coordination.
Pilotiko helps a broker or brokerage team coordinate showings, meetings and follow-ups: online booking into real open times, the property address on every appointment, proposed assignment between brokers and the assistant, and AI agents that draft follow-ups. Nothing goes to a client without your approval.
In short
- The OACIQ protects the public that uses real estate brokerage services governed by law [1].
- Every two years, brokers must meet the requirements of a mandatory continuing education cycle [2].
- The RBQ building inspector certificate becomes mandatory in October 2027 [3].
- Pilotiko doesn't replace OACIQ forms or your transaction management system.
Where does a broker's week actually go?
Real estate brokerage looks less like an office schedule and more like a routing puzzle. A 5 p.m. showing in Boucherville, a 7 p.m. signing in Longueuil, a listing presentation the next morning: every appointment has an address, and the assistant needs to know where everyone is before slotting in another.
Each deal also involves outside parties whose visits must land before a deadline: the home inspector, the photographer for the listing, sometimes the appraiser. None of it is billable by the hour, but all of it eats hours.
How is brokerage regulated in Quebec?
The Organisme d'autoréglementation du courtage immobilier du Québec (OACIQ) is the authority for real estate brokerage in the province [1]. Holding a licence also takes scheduled time: every two years, brokers must complete the Mandatory Continuing Education Program cycle by earning a set number of continuing education units, including mandatory courses set by the OACIQ [2]. Blocking those hours early avoids the end-of-cycle scramble.
| Appointment | Who | Where | Plan for |
|---|---|---|---|
| Listing presentation | Broker | At the seller's | Address and a long slot |
| Private showing | Broker or colleague | Property | Travel between showings |
| Listing photo shoot | Outside photographer | Property | Coordinate with the occupant |
| Pre-purchase inspection | Outside inspector | Property | Before the condition deadline |
| Continuing education | Broker | Online or in class | Two-year cycle [2] |
How many hours does a team lose to cancelled showings?
How does Pilotiko support a brokerage team?
The virtual office shows the team as a brokerage with rooms: listings, buyers, deals in progress, admin. Each broker and the assistant have a desk, with everyone's day and appointments visible at a glance.
A buyer can book an initial meeting online into a slot that's genuinely free on the broker's calendar. Each appointment can carry the property address, which helps the assistant avoid back-to-back showings on opposite sides of town.
When a request comes in through the website, Pilotiko proposes the broker with room and, if you declare territories as skills, the one who covers the right neighbourhood. You confirm or change it.
- An AI agent lists buyers you haven't heard from in two weeks and drafts a check-in; you approve before anything is sent.
- Content agents draft posts for new listings and open houses; you approve, then publish.
- Your team website, hosted by Pilotiko, presents your territories and services with structured data and a sitemap.
What more is coming?
How should buyer and seller information be handled?
A buyer shares borrowing capacity, family situation, sometimes why they're moving. None of that belongs in a scheduling tool. Pilotiko keeps only what's needed to set the appointment.
Since September 22, 2024, Quebec law also grants a portability right: on request, a business must release computerized personal information collected from a person in a structured, commonly used technological format [4]. The less you scatter information, the easier that request is to handle.
Pre-purchase inspection is changing too. Since October 2024, the Régie du bâtiment du Québec has issued certificates to residential building inspectors, and the certificate becomes mandatory in October 2027 [3]. Our home inspection page covers what that means for those firms.
A self-employed broker also hands a tax return to an accounting firm, sometimes in the June 15 wave reserved for the self-employed.
Frequently asked questions
Does Pilotiko replace OACIQ forms?
No. Brokerage forms, contracts and transaction management stay in the tools built for them. Pilotiko handles the calendar, the team, follow-ups and content.
Can a buyer book a showing online?
They can book a meeting into the broker's open time. For a property showing, it's wise to confirm with the occupant first, then set the time.
Do SMS showing confirmations work?
Not yet. They're being commissioned: the code exists, but the sending provider isn't connected. No message goes out automatically today.
Can an AI agent reply to a buyer on its own?
No. The agent drafts the message; it waits for approval from someone on the team, like anything that touches a client.
Does Pilotiko track continuing education?
You can block training hours on the calendar like any other appointment. The official record of your units remains the OACIQ's.
Will Pilotiko find new sellers for me?
Not today. New-client prospecting isn't built yet. Pilotiko helps you serve the requests you already get.
